Most free visitor management tiers stop at 100 visitors a month and gate badge printing, NDAs, and SMS. A tier-by-tier look at what free actually buys — and the point where a real front desk outgrows it.

Envoy’s free plan stops at 100 visitor entries a month. Lobbytrack’s free plan stops at 100 visitors a month. Greetly, which used to be the budget pick in this category, doesn’t publish a free plan at all anymore — its entry tier now lists at $99 a month billed yearly, per Greetly’s published pricing page.
So a free visitor management system is a real thing you can run a front desk on. It’s just a much narrower thing than the word “free” suggests, and the vendors are not identical about where they draw the line.
This is the honest map: what each free tier actually includes as of July 2026, checked against Envoy’s pricing page and Lobbytrack’s pricing page, the three caps that decide whether free works for you, and the four moments where staying free starts costing more than upgrading. What a Free Visitor Management System Actually Includes
Strip the tier cards down and every free plan in this category converges on the same core: a visitor types their name on a tablet, the host gets an email, and the visit lands in a searchable cloud log. That’s it. That’s the free product.
It’s worth being clear about how much that’s worth, because it’s not nothing. It’s the entire reason paper logbooks are a bad idea. A paper book shows every previous visitor’s name and company to whoever signs in next, it can’t be searched when someone asks who was in the building on a Tuesday in March, and it can’t tell a host their guest is standing in the lobby. Free tiers fix all three. If your only goal is retiring the clipboard, you may genuinely never need to pay.
What free tiers converge on excluding is the physical and legal layer — the printed badge, the captured photo, the signed NDA — plus SMS and anything involving a second building.
The Three Caps That Decide Everything
Ignore the feature checklist for a minute. Three numbers decide whether a free plan survives contact with your lobby.
The monthly visitor cap. This is the one that ends the conversation. Envoy’s free Basic plan allows up to 100 visitor entries per month, per Envoy’s pricing page. Lobbytrack’s free Starter plan allows up to 100 visitors per month, per Lobbytrack’s pricing page. Call it five visitors a working day. Count your actual arrivals for one week before you assume you fit — most front desks guess low.
The location limit. Free means one reception site, essentially everywhere. The moment you add a second building, a second floor with its own desk, or a satellite office, you’re pricing paid tiers. Vendors also define “location” differently — some count a building and let you run several kiosks inside it, others meter each kiosk — which our visitor management system cost guide breaks down in detail.
The contact or host limit. Some vendors cap how many employees can be in the host directory. InstaCheckin’s free tier holds up to 50 employee contacts with unlimited visitors. Envoy’s free plan doesn’t cap the employee directory at all, per its pricing page. If you’re a 30-person office this never matters; at 200 people it silently does.

The differences are sharper than the marketing suggests. Badge printing is the line that splits the category.

Two things stand out.
Lobbytrack is the outlier worth knowing about: its free Starter tier includes photo capture and badge printing, which most vendors treat as paid-tier features, per Lobbytrack’s pricing page. Visit agreements — the NDA and waiver flow — start at its paid Professional tier, priced per location per month on that same page. Credit where it’s due; if a printed badge on a free plan is your hard requirement, that’s the shape of it.

Four Signs You’ve Outgrown Free
You don’t upgrade because a feature looks nice. You upgrade because one of these four became true.
- You’re brushing the visitor cap. At 80-something entries in a month you’re one busy week from visitors hitting a wall at the kiosk. That’s a lobby problem, not a billing problem.
- A second desk appeared. New floor, new building, new site. This is the cleanest upgrade trigger in the category and the one that arrives without warning.
- Someone asked for the badge or the NDA. The day facilities wants visitors visibly identified, or legal wants a signed agreement attached to the visit record, the free tier is done. On most plans — ours included — that’s a paid feature.
- Email stopped being fast enough. An email host notification is fine until the host is in a meeting with their laptop shut. SMS is the fix, and SMS is close to universally a paid feature.
Here’s the math that makes the fourth one easy. The U.S. Bureau of Labor Statistics puts the median receptionist wage at $17.90 an hour as of May 2024. Every arrival where your receptionist walks over to find a host, or plays phone tag, is that clock running. A few minutes per visitor across a real lobby covers the tier upgrade quickly.
How to Test a Free Tier Properly

Set the kiosk up the way it would live — a stand at the desk, the iPad locked to the app so a visitor can’t wander into Safari, which is what iPad kiosk mode covers. Then count. At the end of two weeks you’ll have your real monthly visitor rate, and you’ll know whether hosts actually read the email notifications or whether you need SMS. Those two facts pick your tier. Nothing on a pricing page picks it for you.

The catch is never the price — it’s the cap and the gated features.

Badge printing, visitor photos, NDA capture, and SMS host notifications are the ones most often reserved for paid tiers. Read the tier card for the cap before you read it for the features.
Can I print visitor badges on a free plan? It depends on the vendor, and it’s the biggest difference between free plans. Lobbytrack includes badge printing on its free Starter tier. Envoy doesn’t include it on free Basic. InstaCheckin gates badge printing, photos, and NDA capture behind paid tiers. If printed badges are why you’re replacing the logbook, check this line first.
How many visitors can a free visitor management system handle? Around 100 a month is the common ceiling — roughly five visitors per working day. A small professional office, a satellite site, or a low-traffic back door fits comfortably. A busy lobby blows through it in two weeks.
Do free plans still work with a badge printer and an iPad stand? The hardware is yours either way — no vendor’s software tier changes what an iPad or a Brother QL label printer can do. What the tier controls is whether the software will send a badge to that printer. You can buy the hardware first and upgrade the plan later; plenty of offices do exactly that.
