What visitor management for energy and utilities is
Visitor management for energy and utilities is the record of who is on a generating station, an electric or water utility, a substation, or an oil and gas site. It shows which contractors and other visitors checked in, whether they acknowledged the safety briefing or NDA, and who is still inside if there is an emergency or a muster.
InstaCheckin runs that check-in on an iPad kiosk and a web dashboard: the contractor signs the briefing or acknowledgement on the screen, the visit is added to the live list of who is still signed in, and the same visit is kept on an audit log you can search and export.
On a planned outage week at a generating station, the gate can see 40 to 90 arrivals before the morning briefing: scaffold crews, turbine specialists, electrical contractors, a water-treatment vendor, and an auditor with a list of their own. The EHS manager, the plant manager, and the site security lead need the same answer. Who is inside the fence, did they sign the safety briefing and the NDA, and can you produce the list if the muster horn sounds. A visitor management system for power plants, electric and water utilities, substations, and oil and gas facilities is that record. A paper log is not. Names get skipped when the line is long, and the binder never reaches the control room.
InstaCheckin is the iPad kiosk and web dashboard for that gate. Visitors and contractors check themselves in, the host is notified, a photo badge prints, documents are signed on the screen, and the visit lands on a searchable log. If you are comparing options, see the best visitor sign-in apps and how a visitor sign-in system works. Kiosk setup is in our guide to iPad kiosk mode. Plans are on the pricing page.
InstaCheckin, a paper sign-in log, and an office visitor system

| What you need | InstaCheckin | Paper sign-in log | Generic office visitor system |
|---|---|---|---|
| Contractor pre-registration | A host or EHS coordinator pre-registers visitors one at a time or imports them from Excel. They show up on the kiosk, so check-in confirms the record. Employees can pre-register their own expected visitors. Walk-ups still use the kiosk. | Nothing is on file before the person arrives. The name is written at the gate, and names get skipped when the line is long. | Built for expected visitors at a reception desk: clients, candidates, and recurring vendors. Outage crews, relay technicians, and auditor appointments are the pre-registration job described on this page. |
| Safety document acknowledgement | The visitor signs a site briefing, a visitor policy, or an NDA on the iPad before check-in finishes. Different purposes of visit can require different documents. The signed copy stays on that visit. | The safety briefing is a reminder nobody can prove, and the NDA never gets back to the file. | Captures an NDA or visitor agreement for an office visit before someone walks past reception. The requirement on this page is the site safety briefing signed at the gate and kept on that visit. |
| Emergency roster | The evacuation view lists visitors still signed in: name, host, sign-in time, and photo. Print it for roll call, and notify those visitors and their hosts by email or SMS. Sign-out during the day keeps people who already left off the list. It is not an employee headcount. | The binder does not reach the control room, and it does not show who is still inside when the muster horn sounds. | Built to show who is signed in at an office lobby. The muster list on this page is the contractors still signed in at the plant, including people the employee roster does not name. |
| Audit trail | The log stores name, company, photo, host, purpose, sign-in and sign-out, and any document signed on that visit. Filter it and export it to CSV, Excel, or PDF. Retention follows the policy you configure. | A handwritten line. It cannot be filtered or exported, and names skipped at a long gate do not answer an audit. | A reception record of who entered an office. Where NERC CIP applies, the in-scope log has to show initial entry, last exit, the visitor's name, and a named point of contact. A lobby record is not that perimeter log. |
| Multi-site | Generating stations, a headquarters, service centers, attended substations, water plants, and an oil and gas terminal can sit in one account. Hosts, NDAs, and purpose of visit are set per location. The dashboard shows who is on site without calling each gate. | A separate binder at each gate. Someone has to call the site to learn who is inside. | Rolls up offices that each have a reception desk. A generating station, a water plant, a service center, and a staffed substation do not share a lobby. |
| Pricing model | Every plan includes unlimited visitors. You pay the plan rate for each location, and location limits differ by plan. Rates are on the pricing page. This page does not quote prices. | No software plan. The record is the paper log. | Front-desk visitor software is commonly priced per location, not per visitor. This page does not name other products or quote their prices. |
The office column describes a reception-desk visitor system in general, not a named product. InstaCheckin is also used for office check-in. InstaCheckin is not certified to NERC CIP or OSHA, and this page does not quote prices.
A visitor management system for power plants starts with who is on site
A generating station, a water plant, a service center, and a staffed substation do not share a lobby. They share one question: who crossed the fence or the control-room door, and are they still here. The mix changes by the hour: outage contractors, a relay technician, a regulator, a delivery that should stay in the yard. Security wants a name and a photo. EHS wants the briefing signed before anyone reaches the unit.
The InstaCheckin iPad app runs as a self-service kiosk at the gate, the control-room entrance, or the service-center counter. The visitor enters name, company, host, and purpose of visit, and the iPad takes a photo. The dashboard shows who is still signed in. Many substations and well sites have no staff at the fence. The crew checks in at the service center, an attended station, or a staffed control house before the trip. The visit is on the log, with a host, before the gate opens.
Contractor check-in for energy sites, with a briefing and an NDA
Paper contractor check-in at energy sites fails in two places: the safety briefing is a reminder nobody can prove, and the NDA never gets back to the file. InstaCheckin puts both on the iPad before check-in finishes. The visitor signs a site briefing, a visitor policy, or an NDA with a finger or stylus. Different purposes of visit can require different documents. A turbine contractor sees the briefing and the NDA. A short delivery sees a shorter acknowledgment. The signed copy stays on that visit.
Electronic-record and e-signature law varies by jurisdiction. This page describes product features, not legal advice; verify enforceability with counsel. InstaCheckin records that this person signed what you put on the screen. It does not replace the orientation your EHS lead delivers, and it does not verify licenses or insurance.
What belongs in a NERC CIP visitor log
Where NERC CIP applies, CIP-006-7.1 Requirement R2 calls for a visitor control program at a Physical Security Perimeter around in-scope BES Cyber Systems. The log shows the date and time of the initial entry and the last exit, the visitor's name, and a named point of contact. Those logs are kept at least 90 calendar days, and visitors inside that perimeter are escorted. The rule is about that perimeter, not every hallway, parking lot, water plant, or oil and gas site. Water utilities and oil and gas operators are outside NERC CIP unless they also operate bulk electric system assets.
A check-in stores the visitor name, photo, host, purpose, sign-in time, and a sign-out time when the visitor signs out on the iPad. Export the log to CSV, Excel, or PDF for the dates an auditor names. Retention is a policy you configure. InstaCheckin does not start a 90-day clock, and it does not stop you keeping records longer. A custom line on the photo badge can read "ESCORT REQUIRED." The product does not escort anyone, does not operate door hardware, and is not a physical access control system.
InstaCheckin is not certified to NERC CIP and does not make a site compliant. The physical security plan, the escort practice, and the access-control system do that work. The product helps keep the visitor records the program asks for. This page is not legal advice. The same log supports OSHA site safety. 29 CFR 1910.38 expects an emergency action plan, including how people leave and how the employer accounts for them. A visitor log is not that plan.
Evacuation roll call and the emergency muster list
When the horn sounds, the employee roster does not include contractors who arrived after breakfast. The evacuation view lists visitors still signed in: name, host, sign-in time, and photo. Print it for roll call at the assembly point, and notify those visitors and their hosts by email or SMS. Sign-out during the day keeps the muster list from naming people who already left.
The list covers visitors and contractors who used the kiosk. It is not an employee headcount, not a plant alarm, and not a replacement for the muster drill your EHS team already runs. After an incident, the same export answers an internal audit or an OSHA follow-up: who was on site, who they came to see, and when they signed in and out.
Photo badges and host notifications at the gate
Check-in captures a photo on the iPad and can print a badge on a Brother QL-820NWB or compatible Brother QL-series label printer. The badge can show the name, photo, host, sign-in time, purpose of visit, and a short custom message. Badge fields are set per location, so a generating station and a service center can share an account.
The host notification goes out by email or SMS when check-in finishes, using the preference on that host's record. At a plant the host is often a maintenance lead or an operations supervisor. The message says who arrived and who they came to see, so the escort starts with the right person.
Pre-registration for outages, auditors, and substation crews
Outage weeks and inspections are known ahead of time. A host or EHS coordinator can pre-register visitors one at a time, or import them from Excel. They show up on the kiosk, so check-in confirms the record instead of creating it. That fits a relay crew, an auditor with an appointment, or the vendor list for an outage. Employees can pre-register their own expected visitors.
Walk-ups still use the kiosk. Every plan includes unlimited visitors. Location limits and rates are on the pricing page. This page does not quote prices.
Utility visitor management across every location
Generating stations, a headquarters, service centers, attended substations, water plants, and an oil and gas terminal can sit in one account. From the dashboard you set hosts, NDAs, and purpose of visit per location, and you see who is on site without calling each gate. Analytics show daily, weekly, and monthly traffic for one site or several.
The visitor log is the audit trail: name, company, photo, host, purpose, sign-in and sign-out, and any document signed on that visit. Filter and export it when an internal audit, a NERC CIP evidence request, or an OSHA follow-up asks who was in a building. Retention follows the policy you configure.
