What is a receptionist app?

It lets a front desk run whether or not a person is sitting at it, so staff are only pulled in when a situation genuinely needs a human.
Is InstaCheckin a virtual receptionist that answers phone calls?
No — and we want to be clear about that. A virtual receptionist service is typically a live human team that answers your phones remotely. InstaCheckin is a receptionist app for in-person visitor reception: it greets people who physically arrive at your building, notifies their host, prints a badge, and keeps a visit log. Many offices use both — a phone-answering service for calls and InstaCheckin for the lobby. If your need is call answering, we would point you to a call service instead.
Does a receptionist app replace a human receptionist?
It replaces the repetitive parts of the role — signing visitors in, relaying arrivals, printing badges, filing records — not the judgment. Many companies keep a receptionist and use the app to free them from the front-desk conveyor belt so they can focus on higher-value work. Others use it to cover a desk they cannot fully staff, or entrances that never had a receptionist at all.
What hardware do I need to run the receptionist app?
A standard iPad running the free InstaCheckin app, ideally on a stand at your entrance, and optionally a Brother QL-820NWB or compatible Brother QL-series label printer (810W, 720NW) if you want printed badges. That is it — no server, no special networking. Install the app, pair it with your admin account, and the front desk is live in a few minutes.
Can the receptionist app notify staff over Slack or Teams?
Yes. When a visitor signs in and selects their host, InstaCheckin sends that host an arrival notification by email, SMS, Slack, or Microsoft Teams — including the visitor's name, company, photo, and purpose — the moment they finish checking in. The host can walk out to greet them instead of the guest waiting at an unattended desk.

You can search and filter the log by date or host and export it to CSV, Excel, or PDF whenever you need it, for security reviews, evacuation headcounts, or simply knowing who was in the building.
