Frequently asked questions

What's the best iPad visitor sign-in app for a small office?
For a 10–50-person office, InstaCheckin runs on a single iPad in Guided Access with the web dashboard open in a browser tab — visitors self-sign in, hosts get email or SMS notifications, and badges print to a Brother QL-series label printer. Most small offices are taking real visitor check-ins inside thirty minutes of installing the iPad app. The best visitor sign-in app comparison walks through how InstaCheckin stacks up against the other iPad-first options.
How does InstaCheckin handle host notifications?
When a visitor signs in at the iPad, the host they are visiting gets a notification by email, SMS, Slack, or Microsoft Teams — whichever channels you configure on the host record. The notification includes the visitor’s name, photo, company, and the purpose of the visit. Reception staff do not have to call or page the host manually.
Does InstaCheckin print visitor badges?
Yes. InstaCheckin prints visitor badges automatically at sign-in on a Brother QL-820NWB or other Brother QL-series label printer (810W, 720NW). The badge layout is fully customizable — add your office logo, visitor photo, host name, sign-in time, and any access notes such as "ESCORT REQUIRED." Photo-ID badges make visitors easy to identify on the floor.
Can InstaCheckin handle multiple office locations?
Yes. The web dashboard rolls up every location into a single view, with per-location filters for visitor history, hosts, blocklists, badge templates, and reports. Each office can run its own iPad kiosk with location-specific welcome screens, agreements, and badge layouts while sharing visitor analytics across the company.
How long does setup take?
For a single iPad in Guided Access mode, most offices are signed in and taking real visitor check-ins in under thirty minutes — install the app, pair it to your dashboard, configure your visitor types and host list, plug in the badge printer. Multi-site rollouts under an MDM (Jamf, Microsoft Intune, Mosyle) take longer because of the MDM enrollment step; the iPad kiosk mode pillar guide covers both paths.
Can visitors sign NDAs at the iPad?
Yes. NDAs and other agreements can be presented during the sign-in flow and signed with a finger or stylus on the iPad screen. Signed documents are stored in InstaCheckin and can be synced to Google Drive, Dropbox, or OneDrive. Different visitor types can be routed to different agreements — interview candidates to one form, contractors to another. Electronic-record and e-signature law varies by jurisdiction; verify enforceability with counsel.
Does InstaCheckin work with our existing reception desk and printer?
InstaCheckin runs on any modern iPad (the same hardware most offices already keep at reception) and supports Brother QL-820NWB, QL-810W, and QL-720NW label printers — popular choices that office buyers tend to already own. The iPad sits in a kiosk stand at the desk; the printer sits on the desk or on a shelf below. The front-desk sign-in app guide walks through the typical office reception setup.
How is InstaCheckin priced?
See our pricing page for current plans. There is a free 14-day trial — no credit card required — and the iPad app is free to download from the App Store. Larger or multi-site offices can contact us for a quote tailored to the rollout.
