What is the best employee sign in app for a single-office team?
For a team that comes to one building with a front desk, the best staff sign-in app is a shared reception iPad running an in/out board: everyone taps their name to sign in and out on the same device, and the dashboard shows who is on-site right now. How does an in/out board work on an iPad?
The iPad sits at reception in kiosk mode — Apple Guided Access or MDM Single App Mode — locked to the sign-in screen. An employee taps their name from the staff directory to sign in when they arrive, which timestamps the arrival and flips their status to "in." On the way out they tap their name again to sign out. The dashboard updates in real time, so the in/out board always shows who is currently in the building. Because the directory is pre-loaded, each tap takes a couple of seconds — fast enough that staff actually use it twice a day.
Is InstaCheckin a time clock or payroll system?
No. InstaCheckin is a presence and attendance sign-in system, not a payroll time clock. It records when each person signed in and out, keeps a live board of who is on-site, and exports the timestamps to CSV — the digital replacement for a whiteboard or paper sign-in sheet. It does not calculate worked hours, overtime, or breaks, build timesheets, or run payroll. If you need payroll-grade tracking, use a dedicated time-and-attendance platform and, if useful, feed it the CSV export from InstaCheckin as the raw presence data.
Can staff and visitors sign in on the same iPad?
Yes, and that is the main advantage of running the in/out board on your reception iPad. InstaCheckin supports a configurable set of sign-in types — employee, contractor, visitor, and any custom type — each with its own flow on the same device. Employees tap their name from the staff directory; contractors sign in against a contractor flow; visitors self-sign in and notify their host. All three land in the same live in/out board and the same exportable log, tagged by type, so "who is in the building" is one complete answer instead of three separate lists.
Does the in/out board show who is in the building during an evacuation?
Yes. Because staff sign in and out on the same board as visitors and contractors, the evacuation view lists everyone currently on-site — employees included — with names and sign-in times. Open it from the dashboard, print the roster so the floor warden can check people off at the assembly point, and notify on-site people by email or SMS with one tap. The sign-out tap keeps the list current through the day, so the evacuation view reflects real occupancy rather than everyone who arrived since morning.
Can I export the attendance log?
Yes. Every sign-in and sign-out is stored as a timestamped record — name, sign-in time, sign-out time, and location. The log is searchable and filters by name, date range, and site, and exports to CSV or Excel with one click. Use the export to hand a clean attendance file to a bookkeeper, total hours yourself in a spreadsheet, feed a downstream time-and-attendance system, or archive it for a compliance record.
Does InstaCheckin have a phone app for employees to sign in remotely?
No. InstaCheckin is a shared-device in/out board — everyone taps the same iPad at reception. It does not ship a per-employee phone app, and it does not do QR-code, RFID-badge, or GPS-geofenced sign-in. It is also iPad-only, with no Android version. That model fits offices where staff pass a physical front desk. If your team is fully remote or hybrid and needs to sign in from personal phones at home, a mobile-first tool is the better shape for that requirement.
Can InstaCheckin track staff across multiple office locations?
Yes. The web dashboard rolls every location into one view, with per-location filters for the in/out board and attendance log, and a unified CSV export across all sites. A facilities or HR lead can manage every office under one account while each site keeps its own staff directory and welcome screen. That lets a regional manager compare on-site head counts across buildings without asking each front desk to send a separate spreadsheet.
