What is a cloud-based visitor management system?
A cloud-based visitor management system runs visitor sign-in on a device at reception — for InstaCheckin, an iPad — and stores every record in the cloud instead of on a server in your building. The visitor enters their details on the iPad, the data is written to cloud storage, and a web dashboard reads it back from any browser. There is no on-premises appliance, no local database to maintain, and no on-site software to patch. The iPad captures the sign-in, the cloud stores it, and the dashboard shows it — from anywhere.
How is a cloud VMS different from an on-premises or appliance system?
An on-premises or appliance-based visitor system keeps your data on hardware you own and maintain: a physical box or PC at the front desk running local software. You are responsible for powering it, updating it, backing it up, and replacing it. A cloud visitor management system moves the storage, the sync, and the software maintenance to managed cloud infrastructure. The app updates itself, backups are automatic, multiple locations sync in real time to one dashboard, and the visitor log is reachable from any browser instead of only from the machine it lives on.
Is a cloud-based visitor management system secure?
InstaCheckin stores visitor data in the cloud with encryption in transit and at rest, and the visitor log is reachable only through authenticated dashboard access. The iPad holds no permanent local copy of the history — it captures the sign-in and sends it to the cloud, which is the system of record. Compared with a paper logbook that anyone in the lobby can read, cloud storage is a meaningful security improvement. Can a cloud visitor management system handle multiple locations?
Yes. Real-time cloud sync is what makes multi-site work well. Every sign-in from every location flows into one web dashboard within seconds, filterable by site. Add a name to the blocklist once and every iPad at every location enforces it immediately; push a new NDA or badge template and it takes effect fleet-wide. Each office can still override its own welcome screen, host directory, badge colors, and visitor types locally while staying on the same account. A facilities or IT lead manages every site from a single login.
What happens to the visitor log if the front-desk iPad breaks?
Nothing is lost. Because the visitor history lives in the cloud, the iPad is only a window into it, not the place the data is stored. If the iPad is dropped, lost, stolen, or replaced, the full visitor history — sign-ins, photos, signed agreements, badge records — is untouched. Set up a new iPad, sign in, and the complete history is right there. This is one of the clearest advantages of a cloud VMS over an appliance-based system, where a hardware failure can take the visitor log with it.
Do I need a server or IT project to run InstaCheckin?
No. There is no on-premises server, no local database, and no on-site software to install beyond the free iPad app from the App Store. The web dashboard opens in any browser. The only hardware at reception is a standard Apple iPad — held or on a small desk stand — plus a Brother QL-series label printer if you print badges. Does the cloud system work if my internet goes down?
A cloud-based visitor management system needs an internet connection to write new sign-ins to the cloud, so a full network outage at the site interrupts new check-ins until the connection returns — which on a modern office network is rare and usually brief. If you operate a classified or air-gapped facility where no data may touch the public internet, an on-premises system is the correct choice and a cloud VMS is not the fit. For the large majority of offices, the cloud tradeoff is heavily in your favor: no appliance, no local backups, no patch cycle, no per-site data silos.
Can I access the visitor log remotely?
Yes. The visitor log lives in the cloud, so it opens in a browser from anywhere — a laptop at home, a phone on the road, a workstation in another building — with no VPN or remote-desktop session into the office. You can check who is currently in the building, search the history by name, company, host, date range, or location, and export it, all without being on-site. Role-appropriate access means the right people reach the data without everyone getting access to everything.
