iLobby Visitor Management: Alternatives for Small Sites

A vendor-neutral look at iLobby — now FacilityOS — including its published VisitorOS pricing, what the platform is actually built for, and when a single-desk iPad sign-in app is the better buy for a smaller facility.

iLobby Visitor Management: Alternatives for Small Sites

iLobby visitor management starts at $225 a month per site. That’s the published figure for VisitorOS Corporate on the FacilityOS pricing page, with the Enhanced tier at $299 and Enterprise quoted by sales. For a plant with one guard shack and forty visitors a month, that number is usually where the shortlist gets rewritten.

It’s also not the whole story. That price includes an MDM-enrolled iPad, an anti-theft mount, and ongoing hardware repair and training — so it isn’t a software-only subscription you can line up against software-only subscriptions. Put it next to a bring-your-own-iPad app and you’re comparing a lease to a car payment.

This post covers what iLobby actually is now, what the published tiers include, where it’s clearly the right buy, and the specific situations where a smaller facility is paying for a platform to do a clipboard’s job. InstaCheckin publishes this and makes one of the products mentioned. Every FacilityOS detail below is linked to FacilityOS’s own documentation.

First, iLobby is FacilityOS now

If your notes say “iLobby” and every page you land on says something else, you’re not losing it. FacilityOS support documentation confirms that iLobby acquired SCLogic and rebranded as FacilityOS on March 4, 2025. The visitor product is VisitorOS.

That matters for your evaluation for a practical reason: most of the review sites, roundups, and pricing threads you’ll find still say iLobby, and they’re describing a product that has since been repackaged into a multi-module suite. Anything you read from before the March 2025 FacilityOS rebrand is describing the old shape.

What iLobby visitor management includes at each tier

Straight from the FacilityOS pricing page, here’s how VisitorOS is packaged:

TierPublished price, per the FacilityOS pricing pageNotable inclusions
CorporateStarting at $225/month10.9” MDM-enrolled iPad + mount, unlimited sign-ins, SMS/email/call notifications, Active Directory, SSO, Azure hosting, NDA storage, CSV/XLS export
EnhancedStarting at $299/monthEverything in Corporate, plus touchless sign-in, pre-registration, Outlook plugin, SMS sign-out reminders, badge printing and printer
EnterpriseTalk to salesEverything in Enhanced, plus enterprise-tier options

Two things in that table are easy to miss. Badge printing is an add-on at the Corporate tier, not a base feature — the printer and templates only land in the base package at Enhanced, per the same FacilityOS pricing page. And pre-registration is also a Corporate-tier add-on. If badges and pre-registration are your two must-haves, your realistic entry point is the Enhanced tier or a Corporate quote with add-ons stacked on.

The security features that make iLobby’s reputation — watchlists, ID scanning, and visitor screening against global watchlists and US criminal and sex offender databases via Checkr Trust — are listed as optional add-ons at both tiers on the same page. They’re available, but they’re line items.

Visitor screening touches legal ground fast. Denied-party lists, criminal-registry hits, and how you act on a flagged result carry real consequences for the person at your gate and for you. This post describes product features, not legal advice — run screening and retention practices past your own counsel and, for export-controlled sites, your export-control officer.

Where iLobby is genuinely the right buy

The platform earns its price when the visitor kiosk is the smallest part of the problem. Specifically:

  • You have a mandated screening requirement at the gate. Denied-party list screening, ID capture, and third-party watchlist integration are first-class features here. Most standalone sign-in apps, InstaCheckin included, don’t do any of it.
  • Contractors are a bigger population than visitors. ContractorOS handles induction, credential expiry, and permit workflows as a separate module. A visitor app that treats a contractor as a guest with a longer form is not the same thing.
  • You need evacuation mustering. EmergencyOS exists because at a site with 400 people and three exits, a roll call is a regulatory artifact, not a nice-to-have.
  • You want the hardware handled. The iPad, the mount, the MDM enrolment, and the repairs are in the price. For a facilities team without an IT function, that’s a real line item removed — not a markup.
  • Multi-site with a central security function. SSO, Active Directory, and Azure hosting are the shape of a build meant to pass an enterprise security review.

If two or more of those describe you, stop reading comparison posts and get a quote. Our ITAR visitor management page walks through the controlled-facility case, and the manufacturing visitor management page covers the plant-floor requirements in more detail.

When a smaller facility is overbuying

Here’s the pattern. A facilities manager gets told to fix the sign-in book at the front office. They search, and within two clicks they’re in a demo for a facility operations suite with five modules and an implementation timeline.

You’re probably overbuying if all four of these hold:

  1. One or two entry points, not a campus with a gate and three docks.
  2. No regulatory requirement for ID scanning or denied-party screening.
  3. Contractors sign in the same way visitors do, because there are a handful a month.
  4. The actual complaint is that the paper logbook looks dated, shows the last visitor’s name and company to the next one, and forces someone to walk down the hall to fetch a host.

That fourth point drives most of the searches that land on this post. And it’s worth being precise about what’s actually broken, because the front desk is quietly being asked to do more with less. The U.S. Bureau of Labor Statistics Occupational Outlook Handbook for receptionists puts employment at 1,007,200 in 2024 with 0% projected change through 2034, and attributes the flat outlook to organizations continuing to automate or consolidate administrative functions. Translation: the desk isn’t getting more staff. Sign-in software takes the greeting and notification load off it. If the phone is the other half of the problem, that’s a separate tool — an AI receptionist for overflow and after-hours calls handles the calls that go unanswered while someone is dealing with a visitor in the lobby. Two problems, two products. Don’t let one demo blur them.

iLobby (FacilityOS) vs InstaCheckin at the front desk

Feature claims about FacilityOS are based on its publicly available product information as of July 2026. Availability varies by tier and add-on — confirm with the vendor before signing.

The “No” rows aren’t hedging. InstaCheckin doesn’t do screening, contractor induction, or mustering, and pretending otherwise would waste an afternoon of your evaluation.

What InstaCheckin does instead

The scope is deliberately narrow — one job, done on an iPad you already own:

  • Branded paperless sign-in on an iPad kiosk with your logo and colors, so nobody reads the previous visitor’s details off a page.
  • Photo capture and printed badges through Brother QL label printers, with name, photo, host, date, and company logo on the badge.
  • NDAs, safety waivers, and custom documents shown during sign-in, signed on the touchscreen, and archived with the visit record.
  • Host notifications by email and SMS the moment a visitor checks in.
  • Pre-registration so hosts can invite expected visitors ahead of time and those visitors skip the data entry at the kiosk.
  • A searchable cloud visitor log filterable by location, host, date range, or name, exportable to CSV or PDF for audits.

One license covers a location with up to five kiosks, which matters when reception has a second iPad for the contractor entrance or a side door. Rates are on the pricing page, and the visitor management system pillar page covers the category end to end.

Electronic-record and e-signature law varies by jurisdiction. This describes product features, not legal advice; verify enforceability of kiosk-signed documents with counsel.

FAQ

How much does iLobby cost?

iLobby trades as FacilityOS now. Its published pricing page lists VisitorOS Corporate starting at $225/month and Enhanced starting at $299/month, with Enterprise quoted by sales. Those figures bundle an MDM-enrolled iPad, mount, and ongoing hardware support, so they don’t line up cleanly against software-only pricing. Other modules are priced separately.

Is iLobby the same as FacilityOS?

Yes. FacilityOS’s support documentation states that iLobby rebranded to FacilityOS alongside its SCLogic acquisition on March 4, 2025, and the visitor product is now VisitorOS. Older reviews and roundups still use the iLobby name.

What’s a good iLobby alternative for a single facility?

If you have one or two reception points, no mandated screening, and no contractor-induction or mustering requirement, a standalone iPad sign-in app does the job. InstaCheckin covers paperless sign-in, photo badges, NDA signing, host notifications, and a searchable visitor log per location.

Does iLobby include badge printing?

At the Corporate tier, badge printing and the printer are listed as optional add-ons on the FacilityOS pricing page; they’re part of the Enhanced tier. Confirm which tier your quote covers before assuming badges are in the base price.

Does InstaCheckin screen visitors against watchlists?

No. InstaCheckin handles sign-in, photo capture, badge printing, NDA and waiver signatures, host notifications, and an exportable visitor log. ID scanning and denied-party or criminal-registry screening aren’t part of the product. If screening is mandated at your entrance, buy a platform built around it.

Run the sign-in app for a week before you sit through the demo

The fastest way to find out whether you need a facility operations suite or a sign-in app is to put the sign-in app on the desk and see what’s still missing on Friday. Start a free trial, install the iPad app, and have branded visitor check-in, photo badge printing, NDA capture, and email and SMS host notifications running at your front desk this afternoon. If it turns out you do need watchlist screening and contractor induction, you’ll know that from a week of real visits instead of a slide.
