What is a visitor registration system?
A visitor registration system captures a structured digital record of every person who enters a building at the moment they register, replacing the paper sign-in sheet. InstaCheckin runs registration on an iPad at reception: a visitor enters their name, company, host, and purpose, takes a photo, and signs any required agreement — and the record is stored in the cloud with a timestamp, searchable and exportable. It also notifies the host automatically, prints a badge, and screens the name against a blocklist, none of which a paper logbook can do.
How does visitor self-registration work at the iPad?
The iPad is mounted at reception in kiosk mode — Apple Guided Access or MDM Single App Mode — so it stays locked to the registration screen. A walk-up visitor types the first few letters of their name, enters their company and the host they are visiting, states the purpose, takes a photo from the front camera, and signs any required agreement. The whole registration takes under ninety seconds. When it completes, the host is notified by email, SMS, Slack, or Teams, and a photo badge can print from a connected Brother QL-series printer.
Can I pre-register expected visitors before they arrive?
Yes. Pre-register visitors individually from the web dashboard, or bulk-import a whole guest list by uploading an Excel file. Employees can also pre-register their own expected visitors. Pre-registered visitors appear automatically on the iPad kiosk, so registration at the door is a single tap — the visitor finds their name, confirms details, snaps a photo, and signs any agreement, without re-entering the company, host, or purpose already filled in for them. Pre-registration is especially useful for hiring days, client events, recurring vendors, and any predictable wave of arrivals.
Does the host get notified when a visitor registers?
Yes. The moment a visitor completes registration, InstaCheckin notifies their host by email, SMS, Slack, or Microsoft Teams — whichever channels are set on that host's record. The notification includes the visitor's name, photo, company, and purpose. Routing is configurable per visitor type, so every contractor registration notifies the facilities manager, every client registration notifies the account team, and every candidate registration notifies the recruiter. VIP visitors can be flagged for a priority notification the moment they register.
What information does the visitor registration record capture?
Each registration is stored as a structured record: visitor name, company, host, purpose, a photo captured at the iPad, registration timestamp, sign-out time, any signed agreement, and the badge ID. Registration fields are fully customizable — add fields like vehicle number, access-card ID, an internal contact, or a safety acknowledgement, and different visitor types can capture different fields. The log is searchable by any field and filterable by date range, location, visitor type, or host.
Can visitors sign an NDA during registration?
Yes. InstaCheckin can present an NDA, waiver, or site-access agreement during the registration flow, capture a fingertip or stylus signature, timestamp it, and store the signed document on the visit record — the visitor cannot finish registering until it is signed. Different visitor types route to different agreements, and a regular visitor who signed last time can skip the step. Signed documents can sync to Google Drive, Dropbox, or OneDrive. Electronic-record and e-signature law varies by jurisdiction; verify enforceability with counsel.
Can InstaCheckin print a visitor badge at registration?
Yes. A badge prints automatically as the visitor registers, from a Brother QL-820NWB or other Brother QL-series label printer (QL-810W, QL-720NW). The badge layout is customizable per visitor type — your logo, the visitor photo, host name, registration time, access notes, and badge expiry. Photo-ID badges make a registered visitor identifiable anywhere in the building and are a standard physical-security control in offices running ISO 27001, SOC 2, or similar programs.
